Accounting Clerk

The Helsing Group, Inc., an Employee Owned Company, is a leading consulting and management firm. We are hiring an Accounting Clerk to work in our Community Association Bookkeeping Dept., located in our company headquarters in San Ramon, CA.

This is a full-time position in a fast-paced environment requiring multi-tasking and working with a diverse set of departments.

Job duties may include, but are not limited to:

  • Update all new homeowners in our management system.
  • Scan all grant deeds and save into homeowner lot files.
  • Generate welcome letters.
  • Update all homeowner changes of mailing address per Civil Code.
  • Provide information to owners regarding the refinance or sale of their property.
  • Review provider website monthly for unreported ownership transfers, download grant deeds, and bill owners account for process.
  • Upload all association governing documents onto certification website.
  • Backup Escrow with demands and questionnaires.
  • Assist in adding new addresses into system for new closings in a phase and notify insurance broker to activate insurance and notify bookkeeping department to activate billing.
  • Maintain monthly financial information, monthly or quarterly meeting minutes and year-end fiscal year budgets for all associations.
  • Ensure that assessments checks are promptly posted.
  • Enter new residents into accounting system accurately.
  • Process Homeowner Refunds and submit for payment accordingly.
  • Create/Prepare Monthly Homeowner & Developer billing statements
  • Reconcile Accounts for associations in a timely manner.
  • Compile Monthly Financials reports.

Additional Duties may include assisting bookkeeping department with the following tasks:

  • Follow up on issues and respond to email requests in a timely manner.
  • Data Entry.
  • Input monthly reimburseables
  • Process Homeowner Returned Mail.
  • Provide accounting and clerical support to the accounting department.

Skill Requirements:

  • Accuracy, timeliness, and the ability to thrive in a deadline-driven environment.
  • Excellent telephone communication skills, positive attitude, an outstanding work ethic, and the desire to learn new things.
  • Ability to maintain a calm, friendly demeanor and clear, accurate communications even when dealing with difficult, unreasonable, or demanding clients.
  • Strong typing, data entry, and general computer skills with good working knowledge of Excel, Word, Outlook, and some form of automated Accounting software.
  • An A.A. or higher degree in Business or Accounting preferred, must have bookkeeping or accounting classes on college transcripts.
  • Must pass Background Investigation.

Compensation is $18.00-$20.00 an hour, depending on experience, + benefits
