Customer Service Supervisor

The Helsing Group, Inc., a leader in the Community Association Management Industry, is looking for the very best Customer Service Supervisor to join our firm in its San Ramon office. Our ideal candidate professional, enthusiastic, and passionate about providing outstanding service.

Responsibilities

  • Supervise the Customer Service Representatives daily, ensuring all deadlines are met
  • Manage staffing levels of Customer Service Department to ensure adequate coverage of phones during normal business hours.
  • Conduct continual training of staff, new and experienced, on internal and external systems and procedures as well as general customer service techniques.
  • Manage and respond to a high volume of inbound telephone calls and some email correspondence from Homeowners, Vendors, Board of Directors, and others
  • Document all calls and emails into our proprietary management software, in an accurate, thorough, and concise manner
  • Respond to those calls and emails that are within the scope of responsibility of Customer Service to proactively resolve requests, concerns, and issues
  • Dispatch calls and emails that are outside of Customer Service scope of responsibility
  • Scan and document all incoming postal mail following established company procedures
  • Process and track Clubhouse Reservations and Key Fob Orders
  • Perform other administrative duties as needed with enthusiasm and positive attitude
  • Demonstrate good business acumen by placing a high value on operational excellence
  • Demonstrate outstanding communication skills in all interactions

Skills Required

  • Self-sufficiency rate of 80-85%.
  • Excellent verbal communication skills, including phone etiquette and people skills
  • Excellent written communication skills, including grammar and spelling
  • Proficient using computers, including using MS Office Suite and Adobe Acrobat
  • Willingness to receive direction and follow verbal and written instructions
  • Flawless reliability, attendance and punctuality
  • Ability to function effectively without direct supervision
  • Ability to develop effective working relationships with coworkers and clients

Hours are Monday – Friday, 8:00 a.m. – 5:00 p.m.

This is a full time, 40 hours per week position. Overtime will be required to keep up with company deadlines and workload.

Successful applicant must pass a background screening investigation.

Starting Compensation: $25.00 – $28.00 per hour, depending upon experience
